Modified on: Tue, 5 Oct, 2021 at 9:13 AM
What This Does
- Updates unprocessed, source user verified, leave transactions.
- Sets the Updated flag on the leave transactions.
- Amounts will be backed out of the unprocessed field, and added to the processed field on the Leave Master and Leave Job Master when flags are set to update the database.
Best Practices
- This process is normally run after checks/transmittals are printed, in order to update the balances that display on pay stubs; any unprocessed (unupdated) transactions, whether they are verified or unverified, will appear on pay stubs as current earned or used amounts.
- In order to be selected into this process, transactions must be verified by the source user entering the transactions, by that user running the applicable audit trail and setting flags.
- Should always run this process to ensure there are no unprocessed amounts before running any Maintenance processes, including Move Leave from One Job to Another and Move Leave Balances.
Requirements
- Leave transactions must be unprocessed / unupdated.
- Leave transactions must be source user verified (i.e., flags must be set on the used/earned audit trail).
- Leave can be active or inactive.
Update Leave Used / Earned
- HR → Leave Management → Update Leave Used / Earned from left task menu (or, HR → Leave Management → Year End, or HR → Payroll → Finish tab → Update Leave Earned/Used)

- If running the report after each payroll is completed, normally there would be no ranging, so that all unprocessed transactions are updated.
- Range on Leave Description ID if wanting to only update transactions for a certain Leave ID.
- Range on Personnel ID if wanting to only update transactions for a certain employee.
- Range on Entry Date or Starting and Ending Date if wanting to only include transactions from a specific date range; when ranging on dates, be sure to include the entire range of possibile dates of entry, so as to not exclude any transactions.
- Click Select to run report.
- Transactions to be updated will display for review.
- Cancel report, and set flags to update database.
