Best Practices

  • Understand the Meaning - It is recommended to understand how to set up a Leave Description ID, and what each field means, in order to manage your leave policies
  • Troubleshooting - Understanding the Leave Description ID will help troubleshoot problems and determine if changes are needed


Leave Type

  • Modules → HR → Leave Management → Setup → Leave Types
  • Required on Leave Descriptions and purpose is to group Leave Descriptions together
  • Standard Types will be set up, however if a type needs to be added, click on + to Add
  • Enter Leave Type Identification and Title
  • Other two fields are optional for additional description and unit description (describes what is a unit such as hourly or daily)
  • Once all information is entered, save the Leave Type


Leave Description ID

  • Modules → HR → Leave Management → Setup → Leave Descriptions
  • Select the Add button to add a Leave Description ID
  • Enter new Leave Description ID and Short Description (dependent on GSV in Payroll module, this may appear on the pay stub instead of Leave ID)
  • Or select appropriate Leave ID to modify
  • Once all information is entered, save the Leave Description ID


Definition Tab

Leave Type Identification--Select appropriate Leave Type Identification
Active Leave--Boolean should be set to True
Allow Negative Balances--Boolean should be set to True if Leave ID should allow used amounts to exceed the available balance or when only tracking leave used (there is not any leave earned for the Leave ID); if balance cannot be negative, should be set to False
Skip Auto Dock--If Auto Dock is used, selecting this Boolean would stop the process of calculating the dollar amount for the dock and in turn a dock rate would not be included in the select in mass
Manage Liability--Applies to more advanced Leave Management setup related to Leave Liability calculations (Enterprise customers only, or, with software bundle LV04)
Not On Pay Stub--This Boolean should be set to True if this particular Leave ID should not print on pay stub (a GSV in Payroll controls overall whether any leave prints on the pay stubs)
Automatic Earned--Required for boolean to be set to True, to allow automatic earned amounts during the Pay Jobs by Individual Jobs – If not using Automatic Earned, boolean should be set to False
Description--Enter a longer description for the Leave ID
Default Unauthorized Leave ID--Required when Allow Negative Balances is false; standard Unauthorized Leave Description ID is LEAVE DOCKED
Use Leave Waiting Period--Set to true when a waiting period applies prior to earning leave (informational only)
Enter in the Waiting Period--Enter waiting period in months (for reference only); custom expression would need to be entered in order for add leave earned process to take the waiting period into account
Opt. = Optional  Rec. = Recommended  Req. = Required


Leave Earned Tab



FIELDSOpt.Rec.Req.Description
Earn Type--- Custom Expression would be an expression designed by RDA that's outside of a standard expression

- Job Longevity Table, Personnel Longevity Table and Contract Day Table are expressions based on employment longevity, job longevity and contract days, used in connection with a LVEMGT Table (set up separately via Define Table)

- Flat amount is a fixed earned amount

Earn Rate--Only used for Custom Expression and Flat Amount Earn Types – Enter earned rate per earned frequency (Ex. If earned amount is 10 days per year then enter 10 as the earn rate)
Earn Formula

Formula is populated based on Earn Type chosen
Load Value, Grouper, Operator and Control--Used in connection with Earn Type of Custom Expression in order to set up a custom Earn Formula
Opt. = Optional  Rec. = Recommended  Req. = Required



Dock Tab



FIELDSOpt.Rec.Req.Description
Dock Type--If not using Auto Dock, Custom Expression should be selected. If Auto Dock is used, one of the calculations should be chosen to calculate the leave dock dollar amount. In most cases the ((Salary+Supplement )/Contract Days)*Units is used
Dock Formula--If not using Auto Dock, this field should be blank. If Auto Dock is used, the field will be populated with the appropriate formula dependent on the Dock Type chosen.

NOTE: In order for the automatic dock to calculate correctly, it is essential for the fields in the dock formula to be populated accurately for each employee eligible for leave

Opt. = Optional  Rec. = Recommended  Req. = Required


Accrual Tab



  • This tab is only completed when the Automatic Earned boolean is selected

Maximum Accrual Tab

Maximum Accrual Type--Used if requiring a maximum amount that can be accrued

- Custom Expression would be an expression designed by RDA that's outside of the standard table expression

- Job Longevity Table, Personnel Longevity Table and Contract Day Table are expressions based on employment longevity, job longevity and contract days; used in connection with a LVEMGT Table (set up separately via Define Table)

- Flat amount is a fixed maximum amount

Maximum Accrual--Only used for Custom Expression and Flat Amount Accrual Types – Enter max accrual rate per earned unit and/or frequency
Maximum Accrual Formula--Formula is populated based on Maximum Accrual Type chosen
Opt. = Optional  Rec. = Recommended  Req. = Required


  • The Liability tab is used for a more advanced setup for Leave Liability which will not be discussed in this document.
  • The Table tab is used for a more advanced setup when an Earn Type, Accrual Type or Maximum Accrual Type is chosen which uses a Table. Setting up a Leave Table will not be discussed in this document.
