What This Process Does
- This process is used to print direct deposit transmittals for the selected Pay ID.
Print Direct Deposits
- HR → Payroll → Continue Tab → Print Direct Deposits
- The transmittal type available corresponds to the Transmittal Type selected in the Generic Setup Variables (GSVs) on the Checks/Direct Deposits tab. (8.5x11 RDA Standard is the normal selection for printing on plain paper on a laser printer; Dot Matrix Mailer (Transmittal) is the selection for the forms printed on a dot matrix printer which can then be mailed – no envelope required).
- Prior to printing transmittals, run the Jobs w/o Check/DD Numbers report to identify any employees for whom no Transmittal (or Check) Number has been assigned; this would indicate that Set Direct Deposit Numbers and/or Set Check Numbers was not run, and it would cause no records to be selected.
- Select the current Pay ID in the Pay Identification field.
- Verify that the Bank Identification agrees with the Bank Identification on the Job Pay Master; a mismatch would result in no records being selected.
- If you are archiving and emailing direct deposit transmittals (requires FAST level 2 or 3), you can range on Email Address with the From and To empty so that those emailed will not be selected and printed.
- Select When Request Printed True/False can be flagged to print transmittals for employees with/without the Request Printed Deposit boolean flagged in Personnel Demographics; this is normally used when emailing direct deposits, but some employees request a printed transmittal instead of an email.
- Under normal circumstances, to print all transmittals in the payroll, no other ranging is done; however, range criteria is available to specify one or multiple transmittals if needed.
- A message can be added to all transmittals by entering it in the Message Lines field; the number of lines available is dependent upon the transmittal style in connection with the number of lines allowed in the GSVs.
- Click Select to print transmittals.
- On the Output Device Screen, select the desired printer. Always send transmittals to print directly to the printer. Do not view transmittals on the screen via rdaout.lnx or viewpdf.lnx, then send to the printer.
