What This Process Does


  • This process allows the user to locate specific Journal Entry Masters in order to review, make changes, or delete them.


Best Practices


  • Audit Trail - It is always best to review your audit trail carefully before setting flags, so that changes to journal entries are not necessary.


Edit / Delete Journal Entries - Requirements


  • If the journal entry has been Distributed (that box will be checked on the Journal Entry Master Process tab), you must undo the journal entry distribution first before any changes will process.  Undo Journal Entry Distribution, then make changes to the journal entry, or delete it by checking the delete box.  Run the audit trail, distribution and posting steps Journal Entry Processing Steps.
  • If the journal entry has only been Source User Verified (that box will be checked on the Journal Entry Master Process tab), you must undo the journal entry audit trail first before any changes will process.  Undo Journal Entry Audit Trail, then make changes to the journal entry, or delete it by checking the delete box.  Run the audit trail, distribution and posting steps Journal Entry Processing Steps.
  • If the journal entry has not been Source User Verified (that box will be unchecked on the journal entry Process tab), you can make changes to the journal entry, or delete it by checking the delete box.  Run the audit trail, distribution and posting steps Journal Entry Processing Steps.


Query Journal Entries


  1. Finance → Financial Management → Query → Journal Entries
  2. Enter Range/Select Criteria to narrow your search.
  3. The Range fields below are not all inclusive of the criteria available. Those listed are commonly used.
  4. If you want to view an individual journal entry, highlight and click the Select button to see more information. This will pull up the Journal Entry Maintain Screen.  Click on Process Tab to see if it is Source User Verified and Distributed.  
  5. Click Cancel once you're finished viewing.

Transaction NumberThe transaction number is listed on the audit trail report; if you need to make a change to a specific journal entry, ranging on the transaction number will query only the transaction which needs to be changed

Fiscal MonthRange on the fiscal month of the entry or entries
