What This Report Shows


  • Inquiries may be done on an individual subsidiary account which will display budget, month to date and year to date actuals, month to date and year to date encumbrances as well as the available balance for a given fiscal month and year.
  • Inquiries may be done on an individual general ledger (balance sheet) account which will display the beginning balance, month to date and year to date debits and credits and its ending balance.
  • By using the buttons at the bottom of the screen, you can view the activity or detail with or without payroll transactions for the chosen month or fiscal year.


Best Practices


  • Quick View - This query allows you to quickly view the balances in an account and drill down to the activity and detail records from all RDA modules.


Requirements


Summary Inquiry of an Account


  1. Finance → Financial Management → Task Bar → Account Balance Inquiry
  2. Select the Account Type, Fiscal Year and Month.
  3. Select Account code.
  4. Select Distributed or leave blank.
  5. Select Affect date (applicable only if you have the affect date bundle).

Buttons


  1. View Activity – All Activity records for the month will display. From here, you can select the activity record and click the detail button to view the detail that makes up the activity.
  2. All Detail Transactions – The detail records that make up the activity records for the month display source module detail. From the Detail Query screen, the account type, fiscal year and fiscal month can be changed. If changes have been entered, click on the process wheel for query results.
  3. Transactions with Payroll Activity - The same as All Detail except Payroll displays at the activity level, not the detail level.
  4. FY Detail – Detail records that make up the activity for the fiscal year.
  5. FY Detail with Payroll Activity - The same as Fiscal Year Detail except Payroll displays at the activity level, not the detail level.


Extra Information


  • When viewing All Detail TransactionsTransactions with Payroll ActivityFY Detail, or FY Detail with Payroll Activity the screen presents 100 transactions at a time. If you do not see a transaction you are looking for, it may be on a different page. To view another page, click the arrow keys at the top of the screen next to the word Page. Two fields exist: one showing the page you're currently on and the second showing how many pages of transactions there are.
