If running these files the same day as when Interest is computed, you'll need to backdate the Due Date on the new Interest ComputeBatches. If not, you can skip the next few steps:

  1. Go to the ComputeBatches TV.
  2. Select the new Interest ComputeBatches,
  3. right-click
  4. change Due Date
  5. click inside the Due Date field to set the Due Date to yesterday
  6. go to the Collections Dashboard
  7. DMV Stop Workflow
  8. run Step 1 (Set Delinquent Charges)


Add Delinquencies to the Statements:

  1. go to the Transactions Dashboard
  2. click StatementBatches
  3. filter the Statement Batch Type column is equal to Create Statement
  4. scroll down until you see the record where the Commissioner created the first StatementBatch for the current Tax Year. Be sure to select the correct records. Omitting the first StatementBatches for any tax type (Real Estate, Personal Property, Public Service, etc) will result in errors. Please double-check the selected StatementBatches before moving to next step.
  5. select this record and all records above it
  6. right-click
  7. Add Delinquencies to Statements. Leave this screen up until you see a pop-up message indicating that the process is finished. This may take several minutes (15+ min).  To prevent being logged out, you must move your mouse every so often on the current tab, or open another tab and continue working in the system. 

Create Delinquent Statements:

  1. go to Configuration Dashboard
  2. click Class Configuration Core
  3. click Statement Groups
  4. select the Personal Property Delinquent record
  5. right-click
  6. Create Delinquent Statements. Leave this screen up until you see a pop-up message indicating that the process is finished. This may take several minutes (15+ min).  To prevent being logged out, you must move your mouse every so often on the current tab, or open another tab and continue working in the system.
  7. when that process finishes, select the Real Estate Delinquent record
  8. right-click
  9. Create Delinquent Statements. Leave this screen up until you see a pop-up message indicating that the process is finished. This may take several minutes (15+ min).  To prevent being logged out, you must move your mouse every so often on the current tab, or open another tab and continue working in the system.

Omit Statements from Statement File

  1. go to Transactions Dashboard
  2. click Statements
  3. scroll until you see the Land Sale column
  4. filter True
  5. at the bottom of the TV, expand the Items per page to the max
  6. select all of the record in the TV
  7. right-click
  8. Set Exclude from Statement File Flags
  9. click Add (you should see all the Statements get a checkmark)
  10. click Save. Let this process finish
  11. repeat for any other columns if desired

Run the Statement File:

  1. go to Transactions Dashboard
  2. click Statement Batches. In this TV, you should see the 2 newly-created records
  3. select one of the record you just created (this will be Real Estate or Personal Property)
  4. right-click
  5. Create Delinquent Statement File. Leave this screen up until you see a pop-up message indicating that the process is finished. This may take several minutes (15+ min).  To prevent being logged out, you must move your mouse every so often on the current tab, or open another tab and continue working in the system.
  6. when this process finishes, repeat step 2-5 for the other newly-created record (this will be Real Estate or Personal Property) 

Viewing the Statement File:

  1. go to Reports Dashboard
  2. click E-files at the bottom. You should see your 2 newly-created Delinquent Statement files in the TV
  3. select a record
  4. right-click
  5. Download
  6. repeat step 3-5 for the other file
  7. open Microsoft Excel
  8. click Open
  9. click Browse
  10. click Downloads folder
  11. change the dropdown from "All Excel Files" to "All Files"
  12. sort the Modified Date column until you see the Delinquent files at the top
  13. select the file at the top
  14. click Open
  15. click Data in the menu bar
  16. click Text Wizard
  17. click Next until you can click Finish
  18. the file should open and you should be able to see your data
  19. to open the next file, in excel, click File
  20. then click Open
  21. click Browse
  22. click Downloads folder
  23. change the dropdown from "All Excel Files" to "All Files"
  24. sort the Modified Date column until you see the Delinquent files at the top
  25. select the 2nd file from the top
  26. click Open
  27. click Data in the menu bar
  28. click Text Wizard
  29. click Next until you can click Finish
  30. the file should open and you should be able to see your data


Submitting the Statement File to the printer:

  1. go to Reports Dashboard
  2. click E-files at the bottom. You should see your 2 newly-created Delinquent Statement files in the TV
  3. select a record
  4. right-click
  5. Download
  6. repeat step 3-5 for the other file
  7. go to the BillzTrack system to import the files
