What This Process Does
- Makes changes to specific fields in Personnel Demographics, Job Masters and Employee Deductions using a future change date
- Terminates employees using a future change date
- The change date entered on a future change will be the day that the changes are applied to the employee in OpenRDA
- The Apply Future Changes Report can be set on a schedule to run every day
- This process is not designed to add new Employees, Jobs or Deductions
- Personnel GSV Use Future Change Processes must be turned on
Future Terminate Employees
- HR → Payroll→ Other → Future Changes → Terminate Employees
- The Future Terminate Employees process includes Last Pay Date and Termination Date only
- The Last Pay Date will be the change date which is when the change will be made in OpenRDA
- The Termination Date will populate the Termination Date in Personnel Demographics once the change has been applied
- The Employee Status in Personnel Demographics will change to the status set in the Personnel module GSV on the Status tab - Status title to be assigned when employees are terminated
- The employee's Job Masters will be end dated with the last pay date and both Job Masters and Deductions will be inactivated once the changes have been applied
Enter the Personnel ID, Last Pay Date and Termination Date. Once the Future Terminate Employees process has been saved, the information will appear in the top window.
Maintain Future Demographic Changes
- HR → Personnel→ Other → Future Changes → Maintain Future Demographic Changes
- Can range on specific employees or select to view all future changes that have not been applied
- Default will be to view changes that are Moved False (Not applied yet)
- Changes will show by Personnel ID in the browse
Select a record to view the details of the changes. Fields that are changed will show new information in the fields and the Change box is checked. In the Terminate Employee process, only changes in Personnel will be the Current Employee flag and Termination Date.
The Flags tab will show when the changes have been moved to OpenRDA. It will be blank until the changes are applied.
Maintain Future Job Changes
- HR → Payroll→ Other → Future Changes → Maintain Future Job Changes
- Can range on specific employees and jobs or select to view all future changes that have not been applied
- Default will be to view changes that are Moved False (Not applied yet)
- Changes will show by Personnel ID in the browse

In the Terminate Employee process, the Active flag will be unchecked, and an end date will be added/changed on the Job Master that matches the termination date.
Maintain Future Deduction Changes
- HR → Payroll→ Other → Future Changes → Maintain Future Deduction Changes
- Can range on specific employees and jobs or select to view all future changes that have not been applied
- Default will be to view changes that are Moved False (Not applied yet)

Future Change Personnel Demographics
- HR → Personnel→ Other → Future Changes → Change Personnel Demographics
- Enter Personnel Identification and Change Date
- Existing data will display in the first column
- Enter changes in the second column titled Change; If changing Current Employee box, check or uncheck the box
- Hit Enter or move to a different field and the Change box to the right of the new data will be checked
- Once all changes have been entered, click Save
- Saved record will display on the Previous tab
If a change has already been entered for the same Personnel ID and same Change Date on any of the change screens in Personnel and Payroll, the Previous User who entered the change will display in the Previous Change By field and the changes entered will display in the Change column.

- Enter Personnel Identification, Job Number and Change Date

- Once all changes have been entered, click Save
- Saved record will display on the Previous tab

- Enter Personnel Identification, Deduction Description ID and Change Date

- Hit Enter or move to a different field and the Change box to the right of the new data will be checked
- Once all changes have been entered, click Save
- Saved record will display on the Previous tab

Apply Future Changes Report
- The Apply Future Changes report can be scheduled to automatically run every morning
- When this report is run, all changes that have not been moved (Applied) to OpenRDA will now be moved to OpenRDA based on the change date
- If the change date equals the date the Apply Future Changes report is run, those changes will be moved to OpenRDA
- If the change date is greater than the date the Apply Future Change report is run, those changes will remain unmoved until the change date is reached
- Once changes have been moved to OpenRDA, the Flags tab on the Change Maintain Screen will display a checkmark beside Moved and the User, Date and Time will be populated
- The Apply Future Changes Report is located in HR in both Payroll and Personnel → Other → Future Changes → Apply Future Changes and when selected, will apply changes in OpenRDA immediately; no report is generated
