Q: Does RDA offer the positive pay feature? 

A: Yes.

 

Q: If so, what is involved in getting the file setup to send to the bank each time we write checks?

A: It is a manual process to create and upload the file. RDA will not automatically create and send the file to your bank. Only items that have been Bank Reconciliation Updated will be included in the file.

 

Q: Is there a fee for this?

A: We have a generic positive pay file that has the check number and amount. We can add it to your system; but if the bank wants any other information in the file, or if they want it in a different order, there will be a fee for us to program the file.

 

Q: Changing to electronic payments is going to be massive. We are multi million dollar with thousands of vendors. Some of our vendors have sent info for us to make electronic payments. If some are paid electronic and some checks, would this be a problem or does everyone need to be electronic for us to go that route?

A: No problem…Can do both.

 

Q: If we can do both, do we have to pull the electronic vendors and run them separate from the checks or does RDA procurement run both at the same time?

A: Can run both at the same time.

 

Q: Like if we entered invoices for 20 vendors and 8 were electronic will the system print out a check register and an electronic register on the same run? 

A: Yes.

 

Q: Also, at this time of the year we are running checks for FY2025 and FY2026 for the same vendor and mailing them together. Like a credit card company may get 2 checks for one statement. 

A: This won’t be a problem.

 

Q: Currently we archive and can pull a copy of the check anytime. We also attach a stub to the invoices and file them. Is there any kind of document that archives in the system for us to pull later or to attach to the invoices as we write checks?

A: Yes.
