What This Process Does

  • Creates a vacancy for an unfilled position
  • Affects Available FTE field on Position Master and reflects in Total Authorized FTE field

Best Practices

  • If FTEs are not accurate, they can be reset by going to Maintenance → FTE Amounts → Set Total FTE Amounts
  • Zero FTE Amounts will zero out all FTEs on Positions
  • When terminating employees located in Payroll → Other Menu, use the Create Vacancy tab to create a vacancy


Add Vacancy


  • Click on Add Vacancy
  • Use the magnifying glass to search for Position ID
  • Add a Vacancy ID - The ID can be what ever helps to identify the Vacancy (ex. TEACHER2026)
  • Opening - Optional date that can be based on the start date of the job posting
  • Closing - Optional date that can be based on the closing date of the job posting
  • Status - Optional - Use the magnifying glass to search for a Vacancy Status reason; This is the same list as Termination Codes
  • Comments - Optional area for comments
  • Click Save button to save the new Vacancy which will appear in the top window

  • To view the Vacancy added, click on Vacancies from the task menu
