HR/Workforce → Position Tracking → Left Task Menu → Vacancy Tab → Add Vacancy
What This Process Does
- Creates a vacancy for an unfilled position
- Affects Available FTE field on Position Master and reflects in Total Authorized FTE field
Best Practices
- If FTEs are not accurate, they can be reset by going to Maintenance → FTE Amounts → Set Total FTE Amounts
- Zero FTE Amounts will zero out all FTEs on Positions
- When terminating employees located in Payroll → Other Menu, use the Create Vacancy tab to create a vacancy
Add Vacancy
- Click on Add Vacancy
- Use the magnifying glass to search for Position ID
- Add a Vacancy ID - The ID can be what ever helps to identify the Vacancy (ex. TEACHER2026)
- Opening - Optional date that can be based on the start date of the job posting
- Closing - Optional date that can be based on the closing date of the job posting
- Status - Optional - Use the magnifying glass to search for a Vacancy Status reason; This is the same list as Termination Codes
- Comments - Optional area for comments
- Click Save button to save the new Vacancy which will appear in the top window
- To view the Vacancy added, click on Vacancies from the task menu
